Job summary
Review and monitor the implementation of the procurement cycle policy and guidelines for the timely availability of quality goods works and services at the most competitive prices in line with ROM’s mission.
Responsibilities and duties
Carry out market surveys and under the guidance of the Administration manager in accordance to ROM procurement policy and guidelines.
Organize the relevant information/documents to be used in both the Evaluation and Contracts committee meetings then take and file minutes as required by ROM procurement guidelines.
Keep and update procurement records on a quarterly basis relating to suppliers, different user department procurement needs, approved contracts as required by ROM procurement guidelines.
Receive, record and distribute incoming mails in Procurement unit in line with ROM procurement guidelines.
Make follow up of supplies to be delivered within the stipulated delivery period according to the terms of the order/contract/agreement and give feedback to users as regards the progress of their requisitions in line with ROM procurement guidelines.
Provide technical support to user departments in specification development and contract management in line with ROM procurement policy guidelines.
Prepare Purchase order documentation and contracts of goods, services and works in accordance with ROM procurement guidelines.
Establish and document the supplier’s service delivery given the user’s remarks for future reference then prepare documents for payments to suppliers and verify the users as per procurement manual.
Qualifications, Skills and Experience
Master in procurement is an added advantage;
Bachelor of Arts in Business Administration (procurement), Professional Qualifications (e.g. CIPS),
4 years’ experience
