Job summary
The Procurement Assistant will process procurement requests, seek for quotations and prepare suppliers’ payments in line with the procurement and disposal policy.
Responsibilities and duties
Follow-up orders placed with suppliers to expedite the delivery of the required items or services
Maintain an up-to-date database on the existing and potential sources for procurement of the items and services required by ROM
Process valid procurement requests
Assist the user departments in assessing the suitability of the goods and services procured and their conformity to specifications and standards
Check the specifications and terms of service for completeness and plausibility
Assist in the opening of tenders and evaluations
To source quotations from suppliers
Prepare suppliers’ payments
Prepare items for disposal and submit to the procurement committee
Weekly update of the LPO tracker.
Support timely review of vendor invoices, log sheets and reconciliations.
Assist in ensuring effective documentation and filling of documents, in line with the filling system in place.
Qualifications, Skills and Experience
A Bachelor’s degree in Procurement and Supply Chain Management.
Professional qualification in CIPS will be an added advantage.
Three years of experience in the management of procurement activities in a fairly large organization, preferably donor-funded.
Knowledge of Laws, policies, and regulations governing procurement.
Specific reference to PPDA is critical; knowledge in making procurement plans and smooth procurement operations
