Job summary
To ensure that all financial records are accurately written, properly maintained and regular/periodic returns there from properly compiled and submitted to the finance manager. To ensure adequate liquidity for easy implementation of all planned programs and activities, reconciling bank statements, and ensuring financial records are accurate throughout the year.
Responsibilities and duties
Implement, review and drive adherence to accounting policy and ensure staff follow the procedures and guidelines.
Maintenance of a sound financial and project management system which entails entering information on QuickBooks: checks, deposits, transfers, petty cash, bank reconciliations, Trial balance reconciliations, advances reconciliation, mobile money payment reconciliations, reallocations to ensure up to date cash book at all times and accurate and timely monthly imp rests with minimal or no queries.
Process timely monthly payroll for approval and ensure the statutory returns are made on time and also, process the statutory payments (NSSF, PAYE, LST).
Ensure that staff advances are paid on time and posted well in the system as well as quality accountabilities presented and liquidated and recoveries for non-performing advances.
Check and verify documents provided by Accounts Assistant and formally post them into the financial information system.
Ensure the organization is tax compliant, and ensure filing of the same where required and in a timely manner.
Ensure monthly reports accurately prepared and submitted on time for review before onward discussion and dissemination. Monthly reports include the donor financial reports and organization reports.
Prepare various monthly reconciliation highlighting concerns and ensuring the bank ones are signed and filed.
Collaborate with the Finance and Administration Manager in preparation of statutory accounts and be the focal point during the internal and external audits.
Support and observe the safeguarding culture in the organization regularly documenting and reporting identified and potential safeguarding issues to the HR.
Ensure health, safety, and security in your area of operation, as you promote the vision, mission and the values of Reach Out Mbuya.
Ensure timely filing of FIA annual returns
Prepare timely and accurate donor reports as per donor requirements and guidelines.
Provide sufficient and timely responses to donors, auditors and other stakeholders
Any other duties assigned by the immediate supervisor
Qualifications, Skills and Experience
Bachelor of Commerce (Accounting), BBA (Accounting), BSc in Accounting, Finance or relevant degree
Work experience as an Accountant
Excellent knowledge of accounting regulations and procedures, including the Generally Accepted Accounting Principles (GAAP)
Hands-on experience with accounting software QuickBooks
Advanced MS Excel skills
Experience with general ledger functions
Strong attention to detail and good analytical skills
Additional certification (CPA or CMA) is a plus
Special Knowledge
Programme planning and reporting requirements
Thorough knowledge of ROM financial regulations
Thorough knowledge of the ROM chart of Accounts
Hands-on-computer knowledge
Key Skills
Financial Accounting and Budgeting skills
Programme Accounting and reporting skills
Skills in the application of the accounting package (Quick books) in use in ROM
