Breakthrough Trading Head, General Service & Materials Management Division Jobs in Ethiopia
Main duties and responsibilities
Under close supervision of the HRM and Property Administration Directorate Director, Establish and administer proper and efficient fleet management system, cleanliness & sanitation, utilities and rental, telecommunication etc. payments, liaison correspondences and communication of the company. Administer and make constant follow-up on the timely repair and maintenance of services and property.
Regulate fuel consumption, annual inspection, and insurance coverage for vehicle. Make constant follow-up on any accident against Company vehicles and/or third parties, subsequently the case is timely reported to the insurer for compensation/reinstatement.
Make sure company training, stationary, sanitary products are delivered to requesting company units in time.
Plans, organizes, coordinates, directs and controls the entire process of purchasing including the preparation, tabulation and analysis of bids for all commodities; Supervises the receipt, storage, issues, delivery and control of store materials and other supplies used for company operations;
Ensures the maintenance of records on economic order quantities and overseas the preparation and up-dating of procurement schedules for supplies regularly demanded by the company operations, stores and supply operations of the company.
Specific duties & responsibilities
Plans, supervises, controls and coordinates the activities of personnel engaged in receiving, storing, issuing, recording of goods and/or supplies.
Controls and examines that goods received are checked for quantity, quality, prices, etc., against valid documents, i.e. purchase orders, specifications, delivery notes, etc
Reviews receiving reports, store requisitions, actual and required stock levels; etc. develops and recommends methods of standardizations and the maintenance of catalogues of supplies; advises on the provisions of adequate warehouse facilities, security, safety and fire or accident prevention;
Systematizes the arrangement, shelving, location, classification and coding of materials, workbooks, kits and other items;
Ensures that stock items are protected from dirt, damage, fire, theft, or rust, etc.;
Review requisitions, receiving reports, issue vouchers and follows up their timely recording in the proper card-ex;
Ensures the timely preparation of documents on store operations and the smooth flow of information between the team and the other organizational units;
Organizes and directs stock and inventory taking activities of stores periodically and reports irregularities with recommendations on corrective action;
Plans, organizes, coordinates, directs and controls the entire supply operations of the company.
Supervises the receipt, storage, issues, delivery and control of materials and other supplies used for company operations;
Ensures the maintenance of records on economic order quantities and overseas the preparation and up-dating of procurement schedules for supplies regularly demanded by the company operations;
Undertakes the study of total consumption of commodities and the determination of usage rates of all warehouse goods as a basis for the establishment of realistic minimum stock levels, economic order quantities and reorder points;
Supervise the maintenance of inventory control records, develops and enforces efficient supply management procedures, techniques and forms;
Organizes and coordinates the physical inventory count of all store items, makes sure that store inventory balances are reconciled with those of the general accounting record;
Formulates and implements policies and procedures designed to assure overall economic purchasing and efficient store management;
Prepares annual budgets and work programs of stores and supply activities; review performance and submits reports for HRM and Property Administration Directorate.
Coach, mentor and evaluate periodically the performances of employees within the division and make sure that they acquire the necessary skills and training.
Get a timely repair and innovation of office buildings and premises.
Administer timely repair and maintenance of fixed assets at a good standard.
Establish and administer proper and efficient fleet management system of all company vehicles. Undertake all company liaising activities and ensure timely cleanliness of the company facility.
Administer and make constant follow-up on the timely repair and maintenance of service vehicles.
Organize and avail all other such services as utility, cleaning, guarding, tasks etc.
Regulate fuel consumption, annual inspection, and insurance coverage for each vehicle.
Ensure that all vehicles of the Company are used for the interest of the Company during working hours.
Ensure that jacket files are opened for each Company vehicle and keep records of maintenance, regular service, accident report, etc.
Make constant follow-up on any accident against Company vehicles and/or third parties, subsequently the case is timely reported to the insurer for compensation/reinstatement.
Expedite different affairs, such as settlement of utility bills, office rents, pass port and visas cases.
Compile data of fuel telephone, electricity, water and other utility consumption.
Prepare plans and reports periodically and submit for the concerned body.
Coach, mentor and evaluate periodically the performances of employees within the division and make sure that they acquire the necessary skills and training.
Perform other related tasks as assigned.
Job Requirements
Education
MA/BA in Business Management/Personnel Management or other related fields
Work Experience
6/8 Years Related Experience out of which at least 2 years in managerial position
