UN-HABITAT Intern – Administrative Support Jobs in Kenya

Org. Setting and Reporting

The United Nations Human Settlements Programme, UN-Habitat, is mandated by the UN General Assembly to promote socially and environmentally sustainable towns and cities with the goal of providing adequate shelter for all. UN-HABITAT’s focus involves enhancing urban environments, making them safer, healthier, and more environmentally friendly, while also fostering opportunities for dignified living for the urban poor.

Collaborating with entities at various levels, including governmental, civil society, and the private sector, UN-HABITAT actively engages in building, managing, planning, and financing sustainable urban development. The intern will be based in the UN-Habitat Regional Office in Africa (ROAf), located in Nairobi, Kenya and will work under the guidance of Njoki Ng’ethe, Personal Assistant to Director, Regional Office for Africa.

Responsibilities

  • Perform, the full range of front office management and administrative support functions.
  • Performs administrative duties, as required (e.g., travel, stock requisition of office supplies, and assists in the identification of office technology needs, maintenance of equipment, software, and systems, organizes and coordinate seminars, conferences, and translations).
  • Support with travel logistics arrangements e.g., flight bookings, car hire, visa applications and accommodation booking.
  • Support in compilation and updating of inventory of non-expendable items.
  • Support in the organizing of meetings, trainings and conferences held in Nairobi including liaison with participants, conducting site visits, and assisting with writing minutes.
  • Support in maintaining orderly files on on-going projects and project/programme.
  • Support with meeting preparations, such as providing background documents, talking points, PowerPoint presentations, and other tools to engage meeting participants in conversation and learning.

    Qualifications/special skills

    Applicants must at the time of application, meet one of the following requirements:

  • Be enrolled in a graduate school programme (second university degree or equivalent, or higher),
  • Be enrolled in the final academic year of a first university degree program (minimum Bachelor’s level or equivalent),
  • Have graduated with Bachelor’s degree, Masters, PhD or equivalent.
  • Be computer literate in standard software applications (Microsoft Office Suite).
  • Have demonstrated a keen interest in the work of the United Nations and have a personal commitment to the ideals of the Charter.
  • Have a demonstrated ability to successfully interact with individuals of different cultural backgrounds and beliefs, which includes a willingness to try and understand and be tolerant of differing opinions and views.
  • Preferred areas of study: 4th Year Undergraduate. Applicants to the UN Internship Programme are not required to have professional work experience. However, a field of study that is closely related to the type of internship that you are applying for is required.
  • Applicants must be a student in the final year of the first university degree (bachelor or equivalent), Master’s or Ph.D. Programme or equivalent, or have completed a Bachelor’s, Master’s or Ph.D. Programme. Do you meet any of the above criteria? If yes, please indicate which one and attach proof to the application. Please note that you will have to provide an official certificate at a later stage. Logistics knowledge is required. Please explain how you would handle a meeting of 200 meeting participants.
  • Knowledge in the French language is desirable. Do you speak French? What level have you attained in this language?
  • Demonstrate your proficiency in designing excel spreadsheets for continuous input and updating by multiple sources. Please explain with an example.

    Languages

  • English and French are the working languages of the United Nations Secretariat. For this internship position, fluency in oral and written English is required. Knowledge of another UN language is desirable.
