Asian Development Bank (ADB) is currently seeking applications from eligible applicants for the post of Executive Assistant in Manila, Philippines. The duration of this post is 3 years.

Key Jobs Responsibilities

The Executive Assistant will perform the following functions-

  • Ensure that all correspondence and documents for supervisors are accurate and prepared in compliance with ADB’s standards.
  • Ensure that all incoming mail is properly recorded, distributed and brought to the attention of concerned staff, and that outgoing correspondence/materials are delivered on time.
  • Respond on behalf of the supervisor to straightforward/routine correspondence and draft replies on more complex issues in accordance with guidelines. Ensures that all incoming mail is properly recorded, distributed, and brought to the attention of concerned staff and that outgoing mail are delivered on time.
  • Monitor progress/status of confidential matters/documents requiring immediate action/attention to ensure timely completion of required action.
  • Provide efficient administrative services by screening incoming telephone calls, taking accurate messages, dealing with queries from callers and visitors, and establishing nature and priority of requirements of unexpected visitors, to ensure that they are attended to and/or referred in a timely manner to the concerned staff/appropriate party.
  • Manage the schedule and ensures that appropriate arrangements are made for meetings, travel, accommodation, and events.

Eligibility Criteria

Applicants must have:

  • Bachelor’s Degree in business management, communications, social sciences, or relevant disciplines.
  • At least 5 year’s relevant professional experience.
  • Sound knowledge of Office 365 and common word-processing, spreadsheets, and graphics software used within ADB.
  • Strong coordination, interpersonal, and diplomatic skills.
  • Able to relate with offices of the Board, the senior management, and other high-level visitors with diplomacy and exhibits strong protocol knowledge.
  • Excellent written and verbal communication skills in English.
