Responsibilities
Within limits of delegated authority and depending on location, the Team Assistant at this level may be responsible for the following duties:
Provides a wide range of office support and administrative functions in Procurement Unit.
Support procurement assistants/buyers in processing of various procurement tasks including but not limited to drafting of outgoing correspondences, processing contract amendment / extensions, processing bid abstracts, costs analysis, supporting solicitation processes, review of contract expiry dates and expenditures against not to exceed amounts and sending reminders to sections/units for action.
Provide secretarial, administrative and logistics support for meetings, boards, committees, conferences, etc.
Assist in the smooth running of the office by providing efficient and timely administrative support.
Review incoming procurement requests to ensure completeness, ensure formal receipt and update of incoming logs.
Maintains calendar/schedules; monitors change, communicates relevant information to the unit staff and procurement units’ internal and external Partners.
Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required.
Receives phone calls and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required.
Updates and maintains large distribution lists; assembles documents, reports and other materials for global dissemination, where possible using electronic formats; coordinates courier services.
Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.); including preparing and/or processing administrative requests/documents (e.g. travel requests, expense claims, vouchers, visa applications, etc.).
Operates and maintains a variety of office equipment in the performance of basic office functions, e.g. photocopier, facsimile, printer, scanner, etc. Performs other duties as assigned.
Competencies
Education
High school diploma or equivalent is required.
Work Experience
A minimum of 2 (two) years of progressive responsible experience in general office support or related area is required with experience in Procurement / Contracts Management or supply chain related fields.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by an informal interview.
