CFAO Sales Administrator Jobs in Kenya
Job Description:
The position is responsible for the coordination of the operations of the department to ensure timely delivery of new vehicles to customers at all times, Liaison with sales representatives, develop, update and maintain accurate record of branch customer base and categorize them customers as per their fleet sizes.
In liaison with Head office, communicate to sales team any changes in vehicle specifications, price, availability of stocks by brand and colour. Ensure compliance with CFAO Motors Kenya Limited sales procedures as per company guidelines.
Profil Request :
General running of sales administration activities at the branch.
Attending to customers in the showroom in the absence of sales representatives and giving quotations if desired and subsequently allocating prospects to sales reps.
Ensure vehicles are allocated and follow up registration process with appointed provider and NTSA.
Maintain accurate sales file
Supervise general cleanliness of the showroom and ensure all safety precautions are observed and report any shortcoming to the branch manager for action.
Monitor movements of sales reps and know their whereabouts on daily basis.
Seek approval prior to any invoicing of new vehicles.
In charge of Aftersales debtorâs ledger and ensure timely of all due accounts.
Follow up finance documents for deals that go through various finance institutions.
Follow up vehicles which go to approved sublets and ensure they are returned to the yard without any mechanical problems or scratches on body, ensure LPO to sublets is raised and invoiced in sublet account immediately
Supervise the issuance of requested quotations to ensure this is done in line with the CFAO Motors Kenya Limited guidelines, to support the achievement of sales targets;
Ensure ALL quotations either created by you or sales team are signed by the branch manager to validate the quotation/proforma before giving out to the customer.
Monitor credit accounts and follow up on the collection of all outstanding debts across all the brands to ensure timely collection of debts;
Creation of new customer account to maintain accurate and updated customer database;
Update visual control sales dashboard for sales and stocks to enable performance tracking
Follow up on customer complaints to ensure timely resolution of all forwarded complaints, high customer satisfaction, retention and attraction.
Prepare reports on the performance of the department to ensure management is informed of performance gaps in a timely manner
