Specific Duties and Responsibilities Will Entail

  • Establishing and managing records management system;

  • Ensuring no unauthorized access to confidential information ;

  • Keeping custody and maintenance of Institution documents;

  • Ensuring security of information registry/archives;

  • Ensuring security of information, documents, files and office equipment;

  • Digitizing Institution documents for circulation and archiving;

  • Planning for appropriate office accommodation for registries;

  • Keeping a database of all contacts for external stakeholders;

  • Storing, updating and maintaining office records and file index;

  • Formulating and implementing records management policies;

  • Ensuring that file movement records are updated and maintained;

  • Sorting and classifying documents for filing;

  • Preparing and submitting plans and budget estimates for the section ;

  • Controlling opening of open, confidential and secret files;

  • Retrieving of records and information;

  • Ensuring mails are received, sorted, opened, and dispatched and related registers are maintained.

    Qualifications and Work Experience

    For appointment to this Grade a candidate must have: –

  • Bachelors degree in Records Management, Information Management, Information Science, Library Science or any other equivalent qualifications from a recognized Institution

  • Proficiency in computer applications;
