Introduction

Aga Khan University Hospital, Nairobi is a private not-for-profit teaching hospital that provides tertiary and secondary level healthcare services. It is the first hospital in East Africa to be accredited by the Joint Commission International from the USA. The University Hospital has been providing high quality care for the people of East Africa and beyond for over 60 years.

Under The Aga Khan University Hospital is an Outreach Division, which is a rapidly growing network of about 50 medical centers spread over East Africa. These medical centers feature three to five consulting rooms with a practice that is home to specialists, qualified medical officers, highly experienced nurses and constant reception cover.

The clinics offer an on-site pharmacy and laboratory as well as imaging services. There is high expectation for staff to provide high quality professional services.

Applications are invited from qualified candidates for the above position based in Nairobi Kenya. The position holder will report to the Regional Director AKU & AKUH,N PSCMD and AKHS MMD.

Job Purpose

Responsible to manage and optimize supply chain procurement operations. Procure OPEX (Medical and Non-Medical) and CAPEX (Medical and Non-Medical) for Hospital, University, Outreach and for any other site that the institution directs. Manage the PSCMD inventory locations and control item movement into and out of the department.

Responsibilities

Financial Management:

  • Manage purchasing, inventory, warehousing and distribution of supplies
  • CAPEX Budget optimization ad Contract Management
  • Lead the Team in ensuring smooth supply chain operations as well as ensuring users’ supplies requirements are met.
  • Ensure accurate transactions RFP for all OPEX items.
  • Purchase Order approval as per Approval Matrix
  • Ensure appropriate inventory levels are maintained within stocking locations at PSCMD.
  • Monitor hospital wide inventory levels and alert users on high inventory levels.
  • Co-ordinate the quarterly stock count and submit the variance explanations to Finance.
  • Lead the team in ensuring timely submission of supplier invoices to Finance.
  • Define responsibilities and functions of subordinate positions and assist in establishing staff requirements and scheduling.

    Learning and growth – Quality Assurance and continuous improvement:

  • Guide Assistant Managers & Coordinators in review and development of policies and standard operating procedures.
  • Work collaboratively with users and supply chain leadership to develop and maintain processes designed to ensure quality service delivery.
  • Lead the team in development and implementation of quality improvement programs in the supply chain function.
  • Coach Inventory Assistant Manager, Warehouse Supervisors on JCIA, ISO and Quality Systems departmental compliance

    Customer Focus

  • Coordinate PSCMD functions with other departments by preparing reports on Key Performance Indicators.
  • Be the primary liaison with ICT for the Divisions information needs.
  • Directly support finance department during internal and external audits.
  • Departmental leave approval

    Internal business processes

  • Responsible for the maintenance of the inventory control systems to ensure a well-maintained inventory control system with completed inventory transactions in the system.
  • Oversee supplier and warehouse creation.
  • Control random stock adjustments due to price corrections and discrepancies in patient charging

    Control/provide oversight for:

  • Random stock adjustments due to price correction and discrepancies
  • Quarterly stock takes adjustments.
  • Approval of reconciliation of consignment items used.

    Qualifications and skills required:

  • Bachelor’s degree in supply chain management, Business Administration or related field. A Masters’ degree in a related field will be an added advantage.
  • Diploma in Procurement and Logistics
  • Professional membership with CIPS and/or KISM membership required
  • Minimum of 5 years of experience in a similar or related role
  • Experience in supply chain or logistics and operations in a busy set up/healthcare industry.
  • Strong command in data analytics, documentation and presentation.
  • Experience in the implementation and support of Information systems.
