Job Summary
Our client who is in shipping Service Industry is seeking to recruit for a General Affairs/Receptionist who will be responsible for providing administrative support and managing the reception area for a shipping services company in Kenya. This position involves various responsibilities, including welcoming visitors, handling general administrative tasks, and ensuring the smooth functioning of office operations.
Key Responsibilities:
Reception and Visitor Management:
Greet and welcome visitors, clients, and employees with a friendly and professional demeanor.
Maintain a tidy and welcoming reception area.
Direct visitors to appropriate personnel and provide them with necessary information.
Telephone and Email Handling:
Answer and transfer incoming phone calls to the relevant departments or individuals.
Handle inquiries and provide information to callers.
Monitor and manage the general company email account.
Office Supplies and Inventory:
Maintain office supplies inventory by checking stock levels and placing orders as needed.
Ensure the availability of office necessities such as stationery, kitchen supplies, and cleaning materials.
Manage inventory and order office equipment and supplies.
Administrative Assistance:
Provide administrative support to various departments as needed, including data entry, document filing, and photocopying.
Assist with travel arrangements, booking accommodations, and coordinating transportation.
Mail and Courier Services:
Sort and distribute incoming mail and packages.
Prepare outgoing mail and courier shipments.
Maintain postage records and ensure timely payment of postage fees.
Meeting and Event Coordination:
Assist in scheduling and coordinating meetings, conferences, and events.
Prepare meeting rooms, including arranging seating and audiovisual equipment.
Coordinate catering and other logistics for meetings and events.
Office Security and Safety:
Monitor access to the office premises and enforce security protocols.
Be aware of safety procedures and assist in emergency evacuation protocols.
General Affairs:
Assist in general office upkeep and cleanliness.
Report maintenance issues and coordinate with facility management.
Handle ad-hoc administrative tasks as assigned.
Qualifications:
Diploma in Business Administration/Business Management or Degree in Business Management is a plus.
Proven experience in a receptionist or administrative role is preferred.
Proficiency in using office equipment, including telephones, printers, and photocopy machines.
Strong interpersonal and communication skills.
Excellent customer service and hospitality skills.
Proficiency in using computer applications such as Microsoft Office (Word, Excel, Outlook).
Organizational and multitasking abilities.
Attention to detail and problem-solving skills.
Ability to handle sensitive information with discretion.
Professional appearance and demeanor.
