Job Purpose:

To provide business and administrative support services to the Budget and Programming Unit. This would involve supporting staff members to ensure the efficient functioning of the unit for enhanced decision-making.

Major Duties and Responsibilities

Under the direct supervision of the Budget and Programming Officer, the Business Support Assistant – Budget and Programming will be responsible for the following duties.

  • Undertake standard data entry tasks in accordance with corporately defined systems to assist in the monthly, bi-annual and annual planning processes from preparation through to approval stages, ensuring information is organized and readily available.
  • Respond to simple routine queries with readily available support by senior staff, and escalate where appropriate, to provide a timely and accurate response to enquiries.
  • Support Knowledge Management initiatives for the CO Budget and Programming team by maintaining office files, documents, and records in accordance with established systems and processes, such that information is current and readily available for staff.
  • Assist in creating images or information using standardised templates, such as graphs or tables to support the drafting of reports and presentations for staff. Extracting reports in preparation for internal and external meetings; and acting as the secretariat for Budget and Programming led meetings and initiatives.
  • Any other tasks that may be identified.

    Minimum Academic Qualifications

  • Completion of a secondary school education.
  • An undergraduate degree in Business Studies, Finance, Accounting or related fields is an added advantage.

    Desired Experiences for entry into the role:

  • Experience: Two or more years of experience in general administrative or finance work.

    Knowledge & Skills:

  • Ability to use standard office equipment such as photocopiers and scanners.
  • Ability to follow standard business support processes and procedures.
  • Knowledge of standard office software packages, e.g. Microsoft Word, Microsoft Excel and

    Microsoft PowerPoint.
  • Ability to provide information using courtesy and tact.
  • Good attention to detail.
  • Language: Fluency in both oral and written communication in the UN language in use at the duty station.
