About the role

The Supply Chain and Logistics Associate will be in charge of handling all imports, procurement, warehousing, dispatch, and delivery processes within Uganda to ensure the timely delivery of goods for the company’s customers. The incumbent will ensure proper monitoring of all inventory as well as oversee warehouse staff as well as logistics

Partners to ensure that products are stored and shipped in and out in an accurate and efficient manner to achieve customer satisfaction. He/she will also plan, direct, manage, coordinate, and supervise the programs for the acquisition, assignment, utilization, maintenance, repair, replacement, and disposal of fleet vehicles as well as serve as the primary contact concerning the company’s Uganda vehicle fleet.

Key Responsibilities

Management of warehouse staff

  • Conduct daily work planning for all warehouse staff and ensure the staff headcount is fully capable of clearing the day’s dispatches and other warehouse activities.
  • Ensure all the staff in the warehouse are in good physical and mental shape to perform duties assigned at a high productivity level.
  • Abide by and enforce all set safety rules and guidelines, including but not limited to the daily safety toolkit routine prior to the beginning of every shift, usage of PPE (as per the JSA-Job Safety Assessment), etc.
  • Provide on-the-job training to team members to ensure continuity of business despite the absence of any team members.
  • Deliver through others by delegation of duties, proper time management, and getting buy-in from the team members.
  • Creating, supporting, and maintaining a culture of collaboration, accountability, trust, and customer focus across functional areas.
  • Ensuring all team members are aligned to their OKRs and have ownership and give updates on progress on a weekly basis.

    Coordination of supply chain and logistics activities

  • Coordinate offloading and storage of products as per the defined standards including accurately confirming offloaded products and signing of the delivery notes.
  • Ensure all orders are received from the system and that any items missing are shipped out on time.
  • Manage the assembly of all dispatches in a timely manner to provide the Logistics partners have sufficient time for verification and distribution to customers
  • Verify that all dispatched products match the orders placed and are dispatched to the correct first-mile and/or last-mile delivery locations.
  • Cyclic inventory reports & participate in regular inventory stock take to ensure variances are minimized
  • Reverse Logistics- Manage, document, and account for all returned kits from customers or repossessed, from the various service centers, collection points, and warehouse locations
  • Receive and record customer returns Verify that all records at the warehouse including but not limited to
  • Invoices, delivery notes, stock count documents, handover documents, and attendance records are accurately filled as per the set timelines.
  • Manage inventory and timely notify the head of the supply chain of any products that need to be replenished for proper inventory planning.
  • Negotiate with suppliers to secure the highest value for money and the most advantageous terms for the company.
  • Arranging and coordinating of all necessary import documentation i.e. tax exemption certificate, Import Declaration Form (IDF), insurance for goods, and certificates.
  • Maintain good relationship with the suppliers and Governmental Agencies
  • Supervise all incoming goods, equipment, and all other associate shipments and ensure goods delivered are in good condition and within specified timeframes.
  • Ensure that the buffer stock is sufficient & raise orders based on goods in transit and lead time from suppliers
  • Ensure all orders from the warehouse are released on time and as per the description.

    Oversight of fleet vehicle utilization

  • Administer vehicle/equipment asset management processes from procurement to disposition.
  • Develop and implement training modules for vehicle and equipment use and care.
  • Establish and monitor purchasing, operational, and replacement strategies and practices for the most cost-effective operation.
  • Oversee all aspects of operation including inspection, vehicle repair and maintenance, fueling, insurance, training, assignment, risk management, and safety
  • Evaluating drivers’ performances by monitoring, correcting, and improving driving behaviors as well as assisting in discipline, and termination of drivers, and rewarding good drivers
  • Ensure compliance with all internal policies as well as laws and regulations related to vehicle and mobile equipment use and care.
  • Report on the fleet utilization and performance highlighting opportunities, gaps, and bottlenecks detected in fleet operations.
  • Maintain all vehicle information and inspection records
  • Prepare budgets and oversee major purchases

    Key Requirements

  • Degree/ Advanced Diploma in Supply Chain and Logistics Management or related field
  • Minimum of three years’ experience in logistics, warehousing and supply chain management, managing a team of at least 4 people
  • Highly proficient in Microsoft Office Tools (Excel, Word) and use of inventory management software
  • Exceptional leadership, decision-making, and organizational skills
  • Analytical mindset and problem-solving capabilities
  • High degree of flexibility and comfortable with ambiguity;
  • Exceptional attention to detail
  • Outstanding interpersonal skills with excellent written and verbal communication
  • Independent thinker able to thrive and make decisions in a fast paced dynamic environment.
  • Have the ability to handle pressure and meet deadlines
  • High integrity values with discretion in using budgetary allocation for the department
  • A proven record of ability to achieve through others
