Position Summary

Lead the conference set up team to create accurate and timely function set-up, service, delivery and breakdown of assigned conference events. Support and coordinate departmental services in response to meeting planner and operational specifications with a focus on quality and customer satisfaction.

Lead and coordinate the complete setup and servicing of all assigned conference events to include assigning tasks, setup inspection, staging equipment and managing linen. Monitor the performance of the conference set up team. Provide training and coaching to promote the following of policies and procedures. Monitor the efficient use of labor and supplies. Prepare meeting equipment and function space to be ready for client.

Maintain familiarity with safety regulations to audit compliance with life safety codes. Communicate with internal departments and client/representatives to verify accurate room sets and service delivery. Inspect guest and service areas to verify cleanliness and organization. Conduct and maintain routine inventory of setup equipment.

Assist management in training, scheduling, evaluating, counseling, and motivating and coaching employees; and serve as a role model. Follow all company and safety and security policies and procedures. Report maintenance problems, safety hazards, accidents, or injuries. Complete safety training and certifications. Display clean and professional uniform and personal appearance.

Maintain confidentiality of proprietary information. Protect company assets. Welcome and acknowledge all guests according to company standards. Anticipate and address guests’ service needs. Assist individuals with disabilities. Speak with others using clear and professional language.

Develop and maintain positive working relationships with others, and listen and respond appropriately to the concerns of other employees. Verify adherence to quality expectations and standards.

Read and visually verify information in a variety of formats (e.g., small print). Stand, sit, or walk for an extended period of time or for an entire work shift. Move, lift, carry, push, pull, and place objects weighing less than or equal to 50 pounds without assistance and objects weighing in excess of 75 pounds with assistance.

Grasp, turn, and manipulate objects of varying size and weight, requiring fine motor skills and hand-eye coordination. Move over sloping, uneven, or slippery surfaces as well as up and down stairs and/or service ramps. Reach overhead and below the knees, including bending, twisting, pulling, and stooping. Perform other reasonable job duties as requested.

Manage Conference Set-up

    Assists Management

  • Serve as a departmental role model or mentor by working alongside employees to perform technical or functional job duties.
  • Monitor the efficient use of labor and supplies.
  • Assist management in training, scheduling, evaluating, counseling, and motivating and coaching employees; and serve as a role model.

    Safety and Security

  • Maintain familiarity with safety regulations to verify compliance with life safety codes.
  • Report work related accidents, or other injuries immediately upon occurrence to manager/supervisor.
  • Follow company and department safety and security policies and procedures to create a clean, safe, and secure environment.
  • Wear proper clothing, use appropriate personal protective equipment (PPE), and employ correct lifting procedures, as necessary, to avoid injury.
  • Identify and correct unsafe work procedures or conditions and/or report them to management and security/safety personnel.

    Guest Relations

  • Actively listen and respond positively to guest questions, concerns, and requests using brand or property specific process to resolve issues, delight, and build trust.

    Communication

  • Communicate with internal departments and client/representatives to verify accurate room sets and service delivery.
  • Speak to guests and co-workers using clear, appropriate and professional language.

    Working with Others

  • Develop and maintain positive working relationships with others, and listen and respond appropriately to the concerns of other employees
  • Support all co-workers and treat them with dignity and respect.

    Quality Assurance/Quality Improvement

  • Monitor the performance of the conference set up team.

  • Uphold cash handling policies and procedures while assisting the box office employees with sales and admissions.
  • Comply with and adhere to alcohol awareness laws and all other laws and procedures within guidelines established by state alcoholic beverage commission.
  • Assist in maintaining the cleanliness of the location.
  • Keep the club entrance and dance floor free of trash and debris.
  • Adhere to the grooming guidelines of Wildhorse Saloon to present a professional and pleasing appearance that guests will find appealing and approachable.
  • Follow company and department safety and security policies and procedures to promote a clean, safe, and secure environment.
  • Perform other reasonable duties as requested.
